SIMEK’S is seeking a polished Administrative and Marketing Assistant to support the company’s President and Marketing department. This role provides trusted support that impacts all levels of our business. You will be challenged with an array of activities and responsibilities that require a high degree of administrative capabilities, interpersonal skills, and tact. The ideal candidate will have 3+ years of experience providing administrative support to high-level executives and have a proven track record of success in the below areas. Marketing experience in the consumer packaged goods industry along with graphic design is a plus.

  1. General Administrative Support: Draft agendas, attend meetings and take notes, create documents, presentations, file contracts, update contacts, purchase equipment and office supplies, occasionally prepare food samples and other tasks as assigned.  Requires occasional use of personal transportation to run errands, visit retail stores or attend meetings. 
  2. Email & Calendar Management:  Manage the President’s inbox, screen voicemails, draft correspondences, respond to messages when appropriate and follow up on action items to ensure deadlines are met. Manage calendar by arranging meetings and conference calls, as well as confirming and rearranging appointments as needed.
  3. General Office Support: Assist in the creation of presentations for meetings. Support Operations, Sales, and Marketing teams with ad hoc requests including market and customer research and shipping.
  4. Marketing Communications and Design: Work with the team on all items related to marketing efforts including press releases, social media posts, website updates, coordinating materials and creative proofing. Design capabilities and experience in Adobe are a plus.
  5. Project Management: Assist marketing with project management, promotional fulfillment, coupon management, content management, marketing/sales materials fulfillment and ad hoc requests.
  6. Social Media and Content Management: Assist in the management of social media and online presence, which includes growing SIMEK’S social following, managing posts, contests and engaging with followers (or overseeing the engagement of followers).
  7. Trade Show Management: Association research and management. Trade show prep and registration.
  8. Events and Hospitality: Plan and coordinate special events and meetings; includes trade show preparation, setting up AV in conference rooms, planning corporate events, ordering food & beverage catering, entertainment, set up/clean up, etc.
  9. Travel Coordination: Book complex travel arrangements for members of the executive team and manage travel rewards portfolios.
  10. Interpersonal Skills and Discretion: This role requires the use of sound judgment to handle inquiries from employees, customers, partners and vendors and to resolve concerns or escalate issues as necessary. Handle confidential information with discretion.
  11. Superior Communication: Must have excellent verbal and written communication skills. This includes a great phone presence, correct spelling, proper grammar, editing, dictation and basic layout.
  12. Capabilities: A high level of proficiency with Word, Excel, PowerPoint and Outlook is required. Design capabilities and experience in Adobe Creative Cloud Suite are a plus.
